Job Opportunity: NIHR Group Executive Assistant

We are looking to appoint a flexible Executive Assistant to ensure the optimal organisation and communication between elements of infrastructure funding hosted by Oxford Health NHS Foundation Trust (Oxford Health NHS FT). These include the National Institute for Health Care Research (NIHR) Oxford Health Biomedical Research Centre (BRC), the NIHR Mental Health Translational Research Collaboration (MH-TRC) and the MH-TRC aligned Mental Health Mission (MHM) funded by the Department of Health & Social Care (DHSC, see https://www.gov.uk/government/news/government-to-use-vaccine-taskforce-model-to-tackle-health-challenges ).

The NIHR Group Executive Assistant will be employed by the University of Oxford to support three senior managers in the BRC, MH-TRC and MHM and ensure optimal join-up of the NIHR/DHSC funded infrastructure activities hosted by Oxford Health NHS FT. The post is full time; however, consideration would be given to candidates wishing to work part-time (minimum 80% FTE) on a pro-rata basis, with a commensurate adjustment in the responsibilities and duties

You will be based in the Department of Psychiatry at the Warneford Hospital, Oxford.

The post is for a fixed term (funded to 31 January 2028).

You will primarily provide executive assistance to manage the administrative office of the BRC, MH-TRC and MHM and support the BRC Director, BRC Strategic Partnerships Manager and MH-TRC Manager. The post holder will have responsibility for some defined administrative tasks and may be required to undertake, or lead, project work and contribute to the writing of reports or publications.

You will be educated to degree standard or with equivalent work experience, with a significant track record of providing comprehensive, professional administrative support including diary management and meeting organisation, to senior managers. You must be self-motivated to organise, and manage, their workload to enable independent, flexible work for more than one manager. You must have strong communication and interpersonal skills to work with individuals at all levels to establish productive, collaborative working relationships. You will be expected to manage finances and deal with expense claims/payments and should have experience of delivering, or as appropriate, leading, project work as directed by senior managers.
